Who we are
Vaigence Tech is operated by Vaigence Limited, a company building custom internal tools, automations, and AI copilots for small and mid-sized teams. In this policy, “we,” “us,” and “our” refer to Vaigence Limited. “You” refers to anyone who visits this website, contacts us, or engages us for work.
We are the data controller for the information described below. Questions can be sent to hi@vaigence.tech.
What we collect
We collect only what we need to run the business and respond to you:
- Information you give us: name, email, company, role, and anything you share in a contact form, calendar booking, or discovery call.
- Technical data from this site: IP address, browser type, device type, referring page, and pages visited. This is used for security and basic aggregate analytics.
- Calendar bookings: when you book a discovery call, your name, email, and selected time slot are processed by Google Calendar on our behalf.
- Client and project data: during an engagement we may handle documents, data, or system access you provide. This is governed by the signed agreement for that engagement, not this policy.
We do not knowingly collect data from children under 16.
How we use it
- Respond to enquiries and proposals.
- Schedule, conduct, and follow up on discovery calls.
- Deliver and support the systems we build for you.
- Send occasional, relevant updates (only if you opt in).
- Detect abuse, keep the site running, and improve it over time.
- Meet legal, accounting, and contractual obligations.
Legal basis
Where data protection law applies, we rely on:
- Performance of a contract, to deliver work you have engaged us for.
- Legitimate interest, to operate the website, respond to enquiries, and protect our systems.
- Consent, for any marketing emails or optional analytics. You can withdraw consent at any time.
- Legal obligation, to comply with tax, accounting, and other statutory requirements.
Who we share it with
We do not sell personal data. We share it only with vetted service providers who help us run the business under contractual confidentiality and security obligations. Current categories include:
- Calendar and email infrastructure (Google Workspace).
- Cloud hosting and content delivery for this website.
- Accounting, invoicing, and contract-signing tools.
- For client engagements, the cloud or on-premise environment we agreed to deploy into. Where the deployment lives inside your own infrastructure, no client data transits our servers.
We may disclose information if required by law, court order, or to defend our legal rights.
How long we keep it
We hold contact and enquiry data only as long as needed to respond to you and run the relationship, typically up to 24 months from the last meaningful interaction, unless a longer retention is required by law or by an active engagement contract.
Engagement-specific data is retained according to the terms of that engagement and deleted or returned on request at its conclusion.
International transfers
Some of our service providers process data outside your country. Where we transfer personal data across borders, we rely on safeguards such as Standard Contractual Clauses or adequacy decisions, and we limit transfers to what the service strictly requires.
Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict, or port your personal data, and to object to certain processing. To exercise any of these rights, email hi@vaigence.tech. We respond within 30 days. If you are unhappy with our response, you can complain to your local data protection authority.
How we protect it
We use encryption in transit and at rest, role-based access, environment isolation (dev, staging, production), audit logging, and continuous monitoring. We patch and review regularly. No system is perfectly secure, but security is a primary design input on everything we build.
Changes to this policy
If we change this policy, we will update the “last updated” date above and, for material changes, notify you by email where appropriate.
